CCRQInvoice Updates

| June 10, 2008 | 0 Comments

A major update of CCRQInvoice will be released on July 15 2008. All registered users can upgrade to this release at no additional charge.

This release is compatible with the US editions of QuickBooks Pro and Premier, 2006 through 2008, as well as the QuickBooks Enterprise 6.0 through 8.0. At this time we do not support any non-US versions of QuickBooks, although it might be compatible with the 2008 Canadian and UK editions (this has not been tested).

We will issue a number of blog postings that will go into details of the new features. To summarize, we’ve added:

  • Calculated Rate: The ability to have the rate (unit price) in the invoice to be multiplied by another column. Typically the amount in an invoice detail is calculated as quantity X rate = amount. We’ve added the ability to change this to add a value in a custom column to the calculation. If you have weight for example, you can have quantity X (weight X rate) = amount.
  • Calculated Quantity: Another way to vary the standard quantity X rate = amount calculation of QuickBooks. This approach lets you alter the quantity portion of the calculation. We have two variations – the difference between two custom fields, and a volume calculation. For example:
    • You can have a “gross” and “tare” weight. The calculation would be (gross – tare) X rate = amount. Useful if you are selling truckloads of bulk items by weight.
    • Volume calculations are possible, so that you have something like (height X width X length) X rate = amount. Additional features would include the ability to divide by a conversion factor (changing cubic inches to cubic feet, for example) and specifying rounding precision and direction.
  • Our order Sorting feature has been expanded to add features and expand capabilities:
    • You can sort by the service date field in the order.
    • Sorting can be ascending or descending.
    • Negative quantities will sort correctly if you select a numeric sort.
    • Sorting now supports the Unit of Measure fields in the order if you are using a 2008 version of QuickBooks.
    • You can identify particular customers that should not have their orders sorted.
  • The program now allows you to print orders directly from the program. This is a feature that will be expanded on in the future. There are two primary reasons why you might want to consider using CCRQInvoice to print orders:
    • If you are printing a batch of orders you can specify the order in which they will print. You can, for example, print all of the month’s orders sorted by customer name.
    • I’ll go into more detail on this later, but our form design allows you to control the layout of multiple page forms. This is a feature that is often requested in QuickBooks. For example – if you have an invoice that takes two or more pages, in QuickBooks you will get a box for the “total” on each page. With our form design you will be able to specify that the total box shows only on the last printed page.
  • Our programs now support 64 bit systems running Windows Vista x64.

I’ll be expanding on each of these features in future posts.
