Backing Up CCRSoftware Files
CCRSoftware products work with the data in your QuickBooks company file rather than creating a separate set of company data to manage. However, there are some files that contain important information that are not a part of your QuickBooks file – and you should make a backup copy of this data periodically.
These files are:
- The CCRQ.XML file.
- The CCRQUser.XML file.
- Report/Form Template files.
- CCRSoftware log and error files.
You don’t need to make a backup of ALL of these files – I’ll point out which are important. CCRSoftware programs have a menu function that makes it easy to back up the important files by gathering them all into a single location.
You should make a backup of these files any time you create or edit a template, make a change to your CCRSoftware preferences, or are requested to by our tech support staff.
Important Files to Back Up
The most important files to back up are the CCRQ.XML file and any user created report/form templates.
The CCRQ.XML file is stored in the common location that you specified when you first installed your software. This contains all of the preference settings. If the file is lost the program will recreate the file, but then you would have to re-set your preferences.
If you create your own form or report templates with the CCRSoftware editor, these templates are saved as individual files with a repx file type. You should back these up so that you don’t have to recreate your modified templatesĀ if they are lost or damaged. These are stored in the same location as the CCRQ.XML file.
Useful Files for Tech Support
There are several files that you usually don’t have to worry about backing up – but they may be useful to our technical support staff if we are diagnosing a problem.
The CCRQUser.XML file contains user-specific preferences, and it is stored on each workstation. The primary information stored here is the address of the common location. If this is lost or damaged, the CCRSoftware program will ask you for the common location address and create the file.
A log file is created by the software to track major errors and diagnostic information. You do not have to back this up or clear it out – it has a limit to its size – but it is useful in tech support situations.
How To Gather These Files to Back Up
These files are stored in various places, and you might not be sure where they are. The common location varies with each installation. The locally stored files can be in a variety of locations depending on the version of Windows that you are using. We have a simple way for you to gather then all in one location so that you can make backups.
Select Help, then Tech Support, then Save Support Files.
The program will copy the XML files, template files and the support logs (and error PDF files) to a locationĀ in your My Documents folder, and will display the location.
All you have to do is to make a backup of ALL of the files in that folder.
